How We Work

Your hours are your time. Our goal is to ensure that your priorities are met and your business moves forward in a way that feels steady and supported. You’ll feel the difference when the backend of your business is no longer something you have to hold alone.

Hours of operation

We understand the beauty of working remotely, but we’re not naive to its very specific challenges. To ensure our team is always responsive to your needs, our hours of operation align with Mountain Standard Time (MST) but we do our best to support our clients across multiple time zones.

Payments & Invoicing

All payments are processed on the 1st of the month and are set up on auto‑payment using the original method of payment provided. Invoices are sent electronically for your records. Services are prepaid, and work will commence once payment is received.

Refunds

When you buy a package of time with us, we commit to having enough time available to serve you. Our commitment to you affects how we work with our other clients. For that reason, we don’t offer refunds on unused hours or allow unused hours to roll over.

Confidentiality

We adhere to a strict confidentiality code and no information will be divulged to a third party. All documentation sent to us will be returned upon completion and payment. We take your confidentiality very seriously.

HOLIDAY CLOSURES

We observe all major U.S. holidays and close our office during the final two weeks of the year to prioritize rest and time with our families. If any support needs arise during these periods, we’ll coordinate in advance to make sure you're set up before the closure.

Sharing Passwords

To safely exchange passwords, we use LastPass. We ask that clients set up a free account to securely share credentials with us. Please share passwords with: passwords@stephnemchik.com. You may receive login alerts from different regions depending on where our team is located.

COMMUNICATION

We use Voxer (a voice + text messaging app) as our primary method of communication. It allows for quick, real-time updates while preserving flow and flexibility on both sides. Please download and add me at @snemchik to get started.

Meetings

Your time is valuable, and so is ours. In the event that you need to change or cancel a scheduled meeting, we require a minimum of 24-hour notice. In return, we promise to honor our appointments, be on time and come prepared, as well.

WEEKLY PRIORITIZATION

Each week, you’ll receive a quick update (via ClickUp or Voxer) outlining our current focus and key next steps. This keeps us aligned and ensures our time is focused on your highest-priority projects. Questions? Just drop them in Voxer and we’ll adjust as needed.

What To Expect

At Steph Nemchik Consulting, collaboration is built into how we operate. We value open communication, fresh ideas, and clear feedback loops that help move your business forward.

All messages and emails will be returned within 24-48 hours during business days (Monday through Thursday).

That means we will:

  • Make recommendations and offer solutions

Access to your dedicated Online Business Manager, our support team, and services
When you delegate to us, you’re gaining more than systems and task support — you’re gaining a strategic partner who understands the operations, systems, and leadership structures that keep your business moving. You’ll be working directly with me as your OBM and with support from my trusted internal team, where needed, to ensure execution is smooth and consistent.

This package does not include dedicated VA hours. While my team supports me internally and may assist with certain project tasks as needed, their involvement is not designed to replace dedicated implementation support. Our priority is to lead strategically, build systems that support your long-term success, and help you manage or grow the right internal team. If additional VA support is needed, I’m happy to guide the hiring or delegation process.

Turn Around Times
Project and task turnarounds vary depending on the specific requirements. We make an effort to handle all new projects and tasks within 48 hours of receiving the required information. We always inform you of when you can expect projects and tasks to be completed. If you make changes to the original task or project, the amount of time required to complete the project is subject to change.

Project Management Tools
We are happy to work with your PM tool if you’ve already established a routine (i.e. ClickUp, Basecamp, Asana, Trello, Wrike, etc.). We will manage your project on our side with ClickUp. If you do not have a project management tool, we will loop you into our ClickUp.

Getting Started

You’ve already completed the foundational pieces, including your Discovery Call, Breakthrough Strategy Session, and 90-Day Plan Review. This means we’re entering the implementation phase with clarity, direction, and a shared understanding of priorities.

Here’s a quick recap of what’s been done and what’s coming next.

1 | Discovery Call

This 30-minute introductory call helped us learn where you are in your business — where things are working, where support is needed, and what your vision for growth looks like. It gave us the chance to get to know each other and assess whether strategic operations support was the right next step.

Based on our discovery call, our agency sent you a custom proposal and suggested the right Online Business Management package for you. The proposal included our rough insights, pinpointed potential projects, and included next-step recommendations.

2 | Breakthrough Strategy Session

This one-time, 90-minute strategic planning session marked the official start of our working relationship. During this call, we took time to lay everything on the table and identified which areas of your business needed improvement, how your team and projects could be better supported, and what systems needed to be built or optimized to help your business run more smoothly.

It was also an opportunity for us to evaluate your needs, your team dynamics, and your overall business structure, so we can move forward with clarity and alignment.

Following the session, you received a customized 90-Day Plan outlining your operational priorities and key areas of focus. We then reviewed that plan together on a follow-up call to confirm what my OBM team will support during our partnership, ensuring we’re aligned on direction, scope, and next steps.

3 | Deep Dive Audit

In the first two weeks of our work together, we’ll conduct a full audit of your backend systems, communication flows, tools, and operational processes. This is a focused period of hands-on analysis designed to help us execute your 90-Day Plan as effectively and efficiently as possible.

As part of this audit, we’ll complete a full internal systems and process review, along with a team audit to understand how responsibilities are currently distributed. You and your team will also complete a time tracking exercise to help us get a clear picture of where time and energy are currently going.

During this time, we’ll request files, tool and password access, and begin documenting what needs to be cleaned up, restructured, or built out. Because your 90-day priorities are already locked in, implementation will begin immediately, with the audit allowing us to fine-tune systems and workflows as we go.

4 | First 90 Days

Once the audit is complete, we move into focused implementation. This includes system design, process development, backend optimization, and team support. We’ll begin with the most critical priorities outlined in your 90-day plan — the ones that will create immediate clarity or reduce the biggest friction points.

Throughout this phase, you’ll see steady progress and system buildout designed to support long-term scalability, not just short-term relief.

5 | Ongoing Task & System Management

As we gain traction, we’ll begin developing Standard Operating Procedures (SOPs), role-based documentation, and recurring workflows that reduce your day-to-day involvement. These SOPs empower your team to execute consistently and independently.

Where relevant, we may also support task management systems, launch planning, content workflows, or other backend infrastructure based on your business model and needs. This is the stage where your business starts running in alignment with how you think, freeing up your time, focus, and energy to lead.

Ongoing Support

With your foundation in place, we now shift into ongoing execution and refinement. You'll begin to see action items take shape, systems fall into place, and operations start to feel more supported and sustainable. Our focus is to keep the momentum going while protecting your time, energy, and vision.

About Steph Nemchik OBM

Human-Centered OBM & Operations Strategist with a systems brain, trauma-aware lens, and zero tolerance for burnout.

I help high-functioning entrepreneurs rebuild the backbone of their business by designing systems and structure that support how they actually function, so they can grow without being the one holding everything together.

My work lives at the intersection of operational strategy, behavioral psychology, leadership, and the human systems driving it all. I’ve spent over a decade leading teams, running operations, and solving internal bottlenecks across CX, tech, and startup environments.

My training as a Behavioral Economist means I don’t just understand systems, I understand the people running them: how you make decisions, why you avoid certain things, and what pushes you into over-functioning without realizing it.
